  • Develop bios of prospective sponsors and member companies
  • Support strategy of Member Company Strategy team

Event

Member Communication Specialist

The team: Membership Management

Location: Vancouver, BC

Responsibilities include:

  • Send all formal communications to BWT Members
  • Send email communications to Onboard new volunteers – (including a cc to the Database Analyst, Team Primes, and Governance Primes for Volunteer’s company)
  • Off board volunteers
  • Maintain email templates
  • Maintain email account for Membership (future)

Event

Co-Lead

The team: Membership Management

Location: Vancouver, BC

Responsibilities include:

  • Encourage leadership among team members; in the event of your term ending, identify a potential successor and facilitate their transition
  • Support BWT organization with the volunteers needs (monthly reporting on volunteers needs, determine gaps, onboard volunteers, offboard volunteers, communicate vacancies, volunteers engagement)
  • Create consistent processes and templates within their area BWT members database management
  • Onboard new volunteers
  • Off board volunteers
  • Support the other streams in getting the volunteers needed
  • Work with the Knowledge management team to optimize the SAP Jam for volunteers use
  • Work with the Marketing team to setup an engagement strategy for volunteers

Event

Finance Controller

The team: Project Management Office

Responsibilities include:

  • Pursue improved financial business practises, reporting and decision making
  • Establish a long-term financial plan for BWT
  • Set and manage overall budget for BWT
  • Establish a regular cadence to review BWT financial health with governance
  • Increase awareness and accountability of event primes’ budget management
  • Coordinate with Sponsorship and Governance team on financial modelling, sponsorship invoicing and allocation and collection of sponsorship payments
  • Participate in regular BWT governance meetings and events.
  • Manage BWT bank account
  • Create and manage invoice/payment processes across BWT and BWT events
  • Collaborate across BWT teams to ensure they are trained and understand budget and financial processes

Event

PMO Coordinator

The team: Project Management Office

Location: Vancouver, BC

Responsibilities include:

  • Provide assistance and guidance to the Governance Team to implement strategies and plans
  • Develop BWT metrics, registers, and build scorecards
  • Develop PMO annual strategy and plan
  • Attend PMO weekly team meeting
  • Promote and guide the collection of event metrics data with event teams
  • Build templates (e.g., event toolkits, etc.)
  • Design and document processes (for IYE, Finance)
  • Schedule all internal meetings and events
  • Facilitate all internal meetings (annual kick-off, annual strategy & planning, monthly status meeting, governance breakfast meetings)
  • Develop meeting presentations
  • Collect and collate presentation contents from committee leads for internal meetings
  • Meeting notes of actions and decisions

Event

Marquee 2020 Video Liaison

The team: In Year Events

Location: Vancouver, BC

Responsibilities include:

  • The annual Marquee is BWT’s biggest event, featuring executive-level panelists and over 200 attendees each year. Last year we started a tradition of creating a video featuring interviews and highlights of the event:  https://bwtvancouver.com/video/.
  • As a Video Task Manager, you will be in front and behind the camera. You will work with the video producer to create a vision/ storyboard and interview people day of to ensure necessary footage is captured. You are also responsible of liaising between the Marquee team and the video team, creating a beautiful and eye-catching video!

What you might learn:

  • Exercise your public speaking skills and creativity to put together a video celebrating the Marquee in its tenth year
  • Organizational skills and management
  • Networking, meeting new people from all different backgrounds

What you bring to the table:

Event

Drop-In Social Event Manager (May/ June)

The team: In Year Events

Location: Vancouver, BC

Responsibilities include:

  • The Drop-In Social is a casual networking event for our member companies and external invitees can meet over drinks and snacks.
  • As a Manager, you will plan the event from start to finish. You will oversee the structure and logistics of the event, including theme, venue and catering. It’s your event; you are in charge of implementing your vision!
  • Create a plan and vision for the event, including event theme. Work with the member companies to align event agenda and theme with BWT’s values.

What you might learn:

  • This is an excellent event for any volunteer (beginner to experienced) to gain event management experience and practice your organizational skills!
  • Opportunity to meet and network with people from all sorts of roles from all of our member companies, including our governance

What you bring to the table: 

  • Commitment and interest in the event topic

Event

Sponsor Summit Event Manager (June/ July)

The team: In Year Events

Location: Vancouver, BC

Responsibilities include:

  • The Sponsor Summit is an annual event held for executives and seniors from our respective member companies to come together and discuss plans and best practices around diversity initiatives. The attendees may listen to a keynote speaker or create a takeaway action plan document.
  • As a Manager, you will represent our Governance team and organization as you create the speaker scheduling, and theme. You will delegate tasks to team members and oversee event logistics.
  • You will meet interim goals and make regular checkpoints with the BWT Governance, Event Leads and other volunteers to ensure alignment across the board.

What you might learn:

  • This is a great event to polish your event management and organizational skills
  • Opportunity to meet and network with people from all of our member companies, including our governance members and senior leadership

What you bring to the table: 

  • Communication skills and leadership skills
  • Some event management experience
